| It
is widely accepted that we face a world-wide and growing email overload
problem.
Companies without email management face
the risk of losing irreplaceable data, the loss of employee productivity
and the ever increasing threat of litigation.
Email archiving covers four essential elements
of email management: Risk Management, Productivity Improvements,
Storage Management and Records Management.
Risk Management
Implementing a centralised email archiving policy
reduces the risk of expensive litigation due to email abuse and
email misuse, and encourages employees to develop responsible and
professional email habits.
Productivity Improvements
Email archiving puts an end to frustrating searches
looking for emails you have received or sent in the past.
You can search the emails themselves for keyword and phrases, and
you can also search through their attachments too.
You can retrieve emails directly from Outlook. You can even view archived email messages directly from the browser
on your desktop.
Permanently eliminate the problem of accidentally
deleting emails, freeing up administrative resources to get on with
more important system work. |
Storage Management
Reduce the cost of storage by 50% or more (by releasing
space on the main server) and improve performance by offloading
older emails.
You can filter out unwanted messages, such as spam
and news items, and you manage the system so that you only save
one copy of company-wide emails and announcements saving you huge
amounts of storage space.
What's more, all your emails are stored with their
attachments, so when you retrieve an email in a search, the attachments
come too.
Records Management
Satisfy new and existing Government requirements
for record keeping.
How does it work?
The Administrator simply defines the list of mailboxes
that need archiving, the frequency of the archive, and any filters
that are required.
Incoming and outgoing emails for the designated
mailboxes are automatically copied to the archive. The
original messages are unaffected, and are delivered as normal.
Messages are stored and indexed using the To, From,
Subject and Date fields on each email. The body of the message,
and attachments are also archived and indexed for full text searches.
Where is the archive kept?
The archive can be kept on any storage device, or
archived off onto standard CDs, DVDs or optical disks.
In any case, the email messages are archived in
a tamper-proof and secure email database which nobody can modify
or delete.
