| Corporate Governance has become an important issue within corporations after a number of high profile cases. Companies are reviewing how they work and either updating or creating manuals consisting of Processes, Policies and Procedures which are distributed for the most part in paper based formats in files around the organisation and may have to be reproduced many times over.
These paper based systems represent a good start as they put the information into a structured format that can be referred to.
There are some issues that arise which can make them a potential problem.
- The first being how to keep them up-to-date. In paper based systems this requires the insertion and removal of pages as and when updates are distributed. This is prone to human error, such as forgetting to do it, removing the wrong pages, inserting pages in the incorrect sections, etc.
- The second being how to find a correct document for a particular task particularly one that may only be used on an occasional basis e.g. year end procedures. Paper based systems do not allow for searches.
